Docket Den is built to help organizations keep board work, documents, events, sponsorships, rentals, committees, and records organized in one place.
This page explains how Docket Den thinks about security, access, and data handling.
Organization Workspaces
Docket Den is organized by organization workspace.
Each organization has its own workspace for records such as:
- Board packets
- Minutes
- Documents
- Events
- Sponsorships
- Rentals
- Committee updates
- Approvals
- Motions
- Cloud folder links
- Other organization records
Docket Den is intended to keep organization records separated by account.
User Roles and Permissions
Organizations can give users different levels of access.
Depending on the plan and setup, users may include:
- Admin
- Owner
- Executive Director
- Secretary
- Board Member
- Event Coordinator
- Ex-Officio
- View Only
- Committee access
- Other permission-based access
Admins are responsible for reviewing who has access and removing users who should no longer have access.
Board Member Access
Board members may have their own login.
This allows them to access board packets, minutes, documents, meeting details, and records without asking staff to resend files.
Cloud Folders
Docket Den may allow organizations to save quick links to folders in Google Drive, Dropbox, OneDrive, or other services.
Docket Den stores the folder link.
Docket Den does not control access to files inside those external services.
If a user cannot access a Google Drive, Dropbox, or OneDrive folder, the organization should review permissions inside that service.
SmartDen
SmartDen can help users find or summarize information from organization records.
SmartDen is intended as a time-saving tool.
Users should verify important information before using it for official action, board decisions, financial decisions, legal matters, tax matters, public communications, or compliance purposes.
Data Handling
Docket Den may store and process organization records to provide the service.
This may include:
- User profiles
- Organization settings
- Uploaded documents
- Saved folder links
- Event records
- Sponsorship records
- Rental records
- Committee records
- Board packet materials
- Notes and summaries
Security Practices
Docket Den uses reasonable security practices intended to protect organization records and account access.
These may include:
- Account-based access
- Role-based permissions
- Organization-level data separation
- Secure hosting and database services
- Access controls
- Backups or recovery processes where supported by the platform
- Monitoring and issue review where appropriate
No system can be guaranteed perfectly secure.
Customer Responsibilities
Organizations and users are responsible for:
- Using strong passwords
- Keeping login credentials private
- Removing access for former staff, board members, or contractors
- Reviewing role permissions
- Only uploading information they are authorized to share
- Reviewing external cloud folder permissions
- Verifying important records before official use
External Services
Docket Den may rely on third-party services for hosting, database, email, payments, analytics, support, file storage, or other operations.
Those providers may process information as needed to help Docket Den operate.
Security Reviews
Docket Den does not currently claim SOC 2, HIPAA, FedRAMP, or similar compliance certifications unless separately stated in writing.
As Docket Den grows, additional security reviews, policies, and controls may be added.
